User guide
For athletic trainers. Version 1.0. The same guide, with shortcuts, is inside the app: Settings → Guide & shortcuts.
Getting started (10 minutes)
- Open Lulu and set up your records.
- Confirm it's you: Touch ID or your Mac password, or Windows Hello on a PC.
- Choose a recovery passphrase. You'll only need it if this computer's key is ever lost. Write it down and keep it away from the computer.
- Follow "Getting started" on Home. It walks you through:
- your organization name;
- your athletic trainers (initials, names, credentials);
- an off-site backup;
- your roster.
- Activate this computer. The first time Lulu EMR opens, it shows this computer's code. On the website's activation page, enter the code and the email address you paid with, then paste the key into Lulu EMR and choose Activate. A Group license covers 4 computers and up to 4 athletic trainers, and an Individual license covers 1 of each. Each key only works on the computer it was made for.
- Add your roster (Athletes → Add athletes):
- one at a time;
- by pasting names from a spreadsheet;
- or by importing an encrypted export from another computer.
Every day
- Sign athletes in and out:
- start typing a name on Home; or
- run the Athlete kiosk on a spare screen, where athletes sign themselves in and see no records.
- Log a visit: reason, body region, treatments and status. Open items are kept on Follow-ups.
- Injury cases:
- Set participation to Full, Limited or Out, and the athlete's availability follows.
- Clear to Full records the return-to-play date and its paperwork.
- Clinical notes:
- Each note type has its own sections and quick picks.
- Sign to lock a note. Corrections become dated addenda.
- Progress lines show all of a case's notes in order, oldest first.
- Home exercise programs: pick exercises from the library (with cues, stop guidance and figures), set the dose, then give the athlete a handout:
- printed;
- as a password-protected PDF;
- emailed to their school address (you review and press Send).
- Timeline: each athlete's injuries, visits, programs, notes and documents on one zoomable line.
- Documents: attach PDFs and photos (doctor's notes, clearances). They're encrypted and open inside the app.
Keeping records safe
- Lulu locks after a few minutes without use, and when the computer sleeps or the screen locks.
- Every change is saved as you go. Every edit is kept in the record's history, with Undo.
- Important changes ask first and list exactly what will change. These are:
- names, birth dates, medical alerts and medications;
- dates and diagnoses;
- removing exercises;
- clearing a filled-in field.
- Backups:
- Lulu keeps encrypted daily backups on this computer.
- Set up OneDrive Backup (Settings) for a copy that survives a lost or broken computer. Only encrypted records go to OneDrive, never a copy of Lulu. Keep the backup passphrase and printed recovery key safe.
- The sidebar shows the last successful backup.
Sharing (only when you mean to)
- Care summaries for a physician or parent: Share or print. They save as password-protected PDFs, and each share is logged.
- Spreadsheets never include names, only chart IDs.
- Another trainer: export an encrypted copy (.emrx) and give them the passphrase separately. Exercise templates travel as packages (.emrpack) with no athlete information.
The iPhone app (coming soon)
An iPhone app is coming soon. Once it's available, you pair it in Settings → Phone Sync, and the phone holds an encrypted working copy:
- active athletes;
- recent visits and notes;
- open injuries;
- home programs.
It works offline and syncs when it's near the Mac.
Showing Lulu to someone (the demo)
Settings → About & what’s new, at the bottom: Demo with made-up records. Your records are saved and closed first, and the demo opens with an invented roster: 30 football and basketball players, their visits, injury cases, notes and home programs.
- Try anything: sign athletes in and out, write notes, build programs. Nothing is saved, backed up or synced, and Phone Sync pauses.
- A Demo bar across the top shows it's on. Exit demo ends it; then unlock as usual to open your own records.
- The iPhone app has the same demo under Settings → About.
If something goes wrong
- "Waiting for OneDrive folder": OneDrive is starting or offline. Lulu tries again on its own; nothing is lost.
- "Lulu didn't close normally": your records were saved after every change.
- Still stuck? Settings → About → Diagnostics… saves a file with no names in it, for your administrator.
